1. Introduction

Sentryp provides a trip tracking and management system designed for schools and educational organisations. The Sentryp Tracker mobile application ("the App") is used by trip leaders to enable real-time location tracking, media documentation, and emergency response during supervised school trips.

This privacy policy explains what personal data the App collects, how it is used, who it is shared with, and what rights you have regarding your data.

2. Data We Collect

2.1 Location Data

The App collects precise GPS location data from the device, including:

  • Latitude and longitude coordinates
  • Location accuracy (in metres)
  • Speed and bearing
  • Timestamp of each location fix

Location data is collected continuously during scheduled trip periods, including in the background when the App is not in use (e.g. when the screen is off or another app is in the foreground). Background location collection is essential to provide uninterrupted trip tracking.

Location data is not collected outside of scheduled trip periods.

2.2 Photos and Videos

Trip leaders may capture photos and videos during the trip using the App. These media files are uploaded to secure cloud storage and made available to parents, guardians, and school administrators via the trip viewer.

2.3 Blog Entries

Trip leaders may create text-based blog entries during the trip to provide updates to parents and guardians. Blog content is transmitted to Sentryp's servers and displayed in the trip viewer.

2.4 Device Information

The App collects basic device information to ensure reliable operation, including device model, operating system version, battery level, and app version.

3. How We Use Your Data

The data collected by the App is used for the following purposes:

  • Trip Tracking for Parents — Location data is shared with parents and guardians in real time so they can follow the trip's journey via the Sentryp trip viewer.
  • Emergency Response — If the trip leader contacts our Emergency Response Centre during an incident, location data is used to determine the device's position so that the best possible assistance can be provided.
  • Trip Documentation — Photos, videos, and blog entries are shared with parents, guardians, and school administrators to provide a record of the trip experience.
  • Device Health Monitoring — Device information (battery level, connectivity status) is used to ensure tracking devices function correctly throughout the trip.

4. How We Share Your Data

Your data is shared with the following parties:

  • Parents and Guardians — Location data, photos, videos, and blog entries are shared via time-limited access tokens provided by the school.
  • School and Organisation Administrators — Administrators have access to trip data for management and safeguarding purposes.
  • Sentryp Emergency Response Centre — Location data is accessible to our response team during incidents.
  • Infrastructure Providers — We use Amazon Web Services (AWS) for cloud hosting and media storage, and Google Firebase for push notifications to devices. These providers process data on Sentryp's behalf under data processing agreements and do not use the data for their own purposes.

We do not sell your data to any third party.

Your data is not used for advertising, profiling, or behavioural targeting.

The parent-facing trip viewer may display advertisements placed by the school or organisation as a way to generate income. These advertisements are entirely separate from the data collected by the App — no user data, location data, or personal information is provided to any advertiser.

5. Data Retention

Trip data (locations, media, and blog entries) is retained for the duration specified by the school or organisation that operates the trip. Upon request from the organisation, trip data can be deleted.

Media files are stored on secure cloud infrastructure (AWS S3) and access is controlled through time-limited signed URLs.

6. Data Security

We take the security of your data seriously and implement appropriate technical measures, including:

  • All data is encrypted in transit using HTTPS/TLS
  • API access is authenticated using JWT tokens
  • Parent access to trip data uses time-limited tokens that expire automatically
  • Media files are accessed through signed URLs with limited validity
  • Device authentication tokens are stored using encrypted storage on the device

7. Your Rights

You have the following rights regarding your personal data:

  • Access — You may request a copy of the data we hold about you.
  • Deletion — You may request that your data be deleted.
  • Withdrawal of Consent — You may withdraw consent for data collection at any time by revoking location permissions on the device or by contacting your school or organisation.
  • Portability — You may request your data in a portable format.

8. Children's Privacy

The Sentryp Tracker App is intended for use by trip leaders, who are adults employed or authorised by the school or organisation. The App is not intended to be used directly by children.

Location data collected during trips may relate to groups that include minors. Parental and guardian consent for the collection and sharing of trip data is obtained through the school or organisation as part of the trip consent process.

We may update this privacy policy from time to time. Any changes will be reflected on this page with an updated effective date. We encourage you to review this policy periodically.
